For that, we have our own autonomous and non-profitable organization dedicated to help the people in Himalayas which is called Helping Hands for Himalayan People – Nepal. Every year 5% of the company’s profit is directly invested to help those in need.
Since, we are keen on customer satisfaction, we insist that you go through our terms and conditions before booking a trip with us.
A copy of your passport and 25% deposit of the total cost should be provided to us in order to successfully book your trip. The 25% deposit amount is non-refundable regardless the circumstances. However, it will be allocated to your Lifetime Deposit account, which you can access to book another trip with us.
Note: In case of trips outside Nepal (Bhutan & Tibet), we require you to pay the total amount before 20 days of your departure date. Failure in doing so will result in cancellation of the trip.

In case you cancel your trip, please provide us a written notice 14 days prior (30 days prior in case of Bhutan and Tibet) to your departure date. Failure to do so will result in termination of the trip.
According to our policy, 25% of the deposit amount is non-refundable. So instead we recommend you to postpone your trip. However doing so will deduct 100USD from your advance deposit The remaining amount after deduction will be transferred to your Lifetime Deposit account for the next trip.
For now, AceTreks do not offer any refund services as the company provides Lifetime Deposit feature. The amount you transfer to us will never go in vain. The system allows you to utilize your deposit even after the cancellation of the trip. Later, either you or your family members/friends can use this scheme for the same trip or any other. We reserve our rights to change the price under reasonable circumstances like drastic changes in the exchange rate, inflations, deflations, or government actions which are out of our control. We are not liable to answer anyone regarding the price changes.
You can book a trip through Last minute booking 3 days prior to departure date. However, extra charges will be included.
In case you postpone your trip, please provide us a written notice 30 days prior to your departure date. Failure to do so will result in termination of the trip. A minimum postpone charge of 100USD will be charged. Rest of the amount will be deposited to your Lifetime Deposit account which you can utilize for your next trip with us.
A comprehensive travel insurance is mandatory before you start your trip with us. Make sure the insurance policy covers all the expenses such as medical, personal accidents, emergency evacuations, loss of gears, natural calamities, theft or damage to baggage and personal losses. We highly encourage that you check specifics while speaking to your insurance company before flying to Nepal.
Weather condition in remote areas are hard to predict. Especially around the mountain regions. We encourage you to be prepared for extra food and accommodation expenses in case of delays. AceTreks do not take responsibility of any additional expenses due to flight delay/cancellation.
Our tours in Nepal, Bhutan and Tibet are conducted under the strict rules and regulations of the Tourism Board of the respective countries. AceTreks are not liable for any changes or cancellations of the trip under unavoidable circumstances like change in rules and regulations of country, government restrictions, natural disasters, political instability and cancellation of flights or accidents. Since the extra expenses during these events is client’s responsibility, Travel Insurance is mandatory.
In case of canceled trip due to any unforeseen circumstances like natural calamities, war, unfavorable weather condition, or change in government policies, your funds will automatically be transferred to your Lifetime Deposit account. You can access the funds to book future trips with us.
We are not liable for any kind of refunds in case you are forced to leave Nepal as a result of unlawful act or acts that are against the government policy.
Your personal belongings are your responsibility. Therefore we are not liable for either loss, damage, or theft of your belongings.
